Corporate Vehicle Services - Chattanooga plant

Responsibilities

    • Answer questions from employees, their family members, dealerships, and vehicle transporters via phone calls, emails, Skype and customer walk-ins by utilizing eTag, Supertool, VTRACS and our internal inventory excel file to provide answers.
    • Timely processing of documents pertaining to factory employees leased, assigned, and pool vehicles.
    • Assist DAA with all aspects of the delivery process for approximately 1,000 vehicles per year
      • Utilize vehicle knowledge to inform customer of vehicle options and equipment choices
      • Determine customer needs and assist in vehicle ordering for customers who order vehicles themselves, verify validity of order and approve or disapprove order as appropriate
      • Oversee creation and utilization of vehicle paperwork, including Manufacturer’s Certificate of Origin, Vehicle Invoice, Registration Application, Title Work, Power of Attorney, etc., all according to the State of Tennessee regulations
      • Generate a delivery packet with tag, registration, insurance card, AIM inspection form and information pages.
      • Ensure vehicles are placed into service through eTag prior to DAA rep. delivers the lease vehicle.
      • Accept vehicle return from customer, processing information in eTag and grounding vehicle in VCI’s systems (VCI Direct and Audi Direct).
  • Interface with internal groups to work with product evaluation programs
    • Monitor Human Resource reports and be cognizant of vehicles for terminated employees
    • Act as a liaison with the local VW and Audi dealers, as well as local body shop(s) in Chattanooga for all work associated with Corporate Vehicle Services
    • Assist in implementing Special Programs approved by top management.
    • Maintain all service, warranty, in service and surrender procedures for all corporate based company cars
    • Reconcile monthly Not-Yet-In-Service and For Sale reports received from Vehicle Accounting and investigate discrepancies
    • Daily collaborate with Payroll, HR and Corporate office on split deductions, accident deductibles for active and inactive employees.
    • Assist employee and family members with loaner vehicles for warranty issues.
    • Review inactive employee information with Accounts Payable, attempting to collect unpaid debts.
    • Communicate with various ports on late shipments as needed.
    • Give PowerPoint presentations to new hires at the plant on the leasing program
    • Assist in the Annual Vehicle Confirmation for the Chattanooga plant including reaching out to the employee, manager and director.
    • Process termination paperwork for Chattanooga employees as needed.
    • As needed initiate Vehicle Recovery through repossession for terminated employees who don’t follow policy.
    • Complete registration and titling processing through Vendors and VTRACS for TN, GA, AL, and possibly other ad hoc situations
    • Identify driver, scan and email tickets, tolls, and other violations to lease customers
    • Renew vehicle registration for lessees.

     

Qualifications

  • High School Diploma

    Skills / Experience:
  • Microsoft Office (Excel, Word and Outlook) 
  • Experience in automotive industry is a plus.
  • Exceptional customer service skills
