The Administrative Support Specialist will work in an automotive packaging warehouse environment. The main task are office administration, warehouse reporting and financial administration.

 

Responsibilities

  • Support in creating presentations, reports, and other clerical items that will be required during normal business operation
  • Office supply ordering, monitoring, and tracking of shipment and organization
  • Packaging material organization:
    • Ordering of packaging materials based on Service Providers order
    • Monitoring of packaging material consumption
      • Auditing of usage of packaging material
      • Creation of reports for packaging material consumption
    • Submitting requirements of additional and/or new packaging material to packaging planning as well as support in discussing changes with packaging material suppliers.
    • Communication with packaging material planning and set up communication channels to keep constant information flow
  • Greet and set up meetings and guest access for Plant visitors
  • Ensure correspondence of mailboxes is sustained, compiling feedback, submitting to Associates as well as Service Provider associates, archiving.
  • Weekly auditing of Service Providers, filing of required governmental agencies documentation, to include but not limited to, Customs Compliance, DOT, FAA, OSHA, etc.
  • Conduct bi-weekly or monthly IT equipment audits
  • Enter purchase requisitions as needed; keep track of approval process.
  • Process invoices for payment; keep track of available balance on PO's.
  • Contact vendor for missing invoices, POD's, or packing slips.
  • Keep copies of all invoices processed and all corresponding paperwork on file for audit purposes.
  • Daily, Weekly, and Monthly reporting documentation (general Warehouse reporting)
    • Extracting out of the SAP warehouse system,
    • Verifying results, do plausibility checks
    • Create management summary on PowerPoint
    • Assist with monthly report preparation

Qualifications

  • AS degree or equivalent of 3 years’ experience in a field in manufacturing, logistics or packaging environment.
  • 3-5 years computer experience with MS Excel, Word, PowerPoint and Outlook
  • Experience in automotive industry
  • Experience working in packaging environment Analytical thinking – using logic and reason
